Your New Role 

Location: Sydney CBD
Role Type: Full-time | Temporary (12 MONTHS)

The Executive Assistant plays an integral role in supporting 2 members of the Executive team by providing optimal professional and administration support as well as ensuring the smooth and efficient running of the day to day operation of the two departments. 

This is a key, highly visible role for a career Executive Assistant who is skilled at fostering relationships with senior stakeholders and has a high level of initiative, proactivity and prioritisation.

  • Provide extensive complex diary management, meeting coordination and general administrative support for the Chief Risk Officers and Chief Corporate Affairs & Strategy Officer, including scheduling of appointments, travel coordination, prioritising commitments and keeping track of schedules
  • Organise departmental meetings including room bookings, distributing agendas and taking minutes where necessary
  • Organise meetings/functions with external parties including venues, attendees and catering
  • Manage and coordinate the expenses reporting for the teams, including reconciling Amex expenses, ensuring accuracy and timeliness
  • Manage internal travel processes, book all domestic and international travel for staff, and be the primary point of contact for all internal travel queries
  • Assist with the on-boarding of new team members, scheduling meetings and group events, and providing administrative and process support as part of the induction
  • Regular and proactive liaison with State teams to ensure they are across head office activities
  • Prepare, collate and distribute departmental reporting, including Board Reports, slide decks and other standardised reporting

About you

  • Minimum 7 years corporate EA/PA experience ideally gained in financial or professional service environments

  • Experience supporting C-level executives

  • Tech savvy and resourceful with strong profienciency in MS Office, particularly Outlook and PowerPoint

  • Excellent time management and organisational skills with impeccable attention to detail

  • Strong written and verbal communication skills with the ability to influence effectively at all levels of the organisation
