The Receptionist & Office Administrator is the first point of contact for Export Finance Australia, providing a professional and welcoming front-of-house experience for clients, visitors and employees.
This role is responsible for the smooth operation of the reception function and broader office environment, ensuring high standards of service, organisation, and workplace presentation. The role also provides proactive administrative support, contributing to an efficient, well-functioning workplace.
Working within a small team, the role supports the Head of Security and Facilities Operations through effective coordination of reception, facilities support, and administrative services.

About you
Reception
- Deliver a professional, welcoming, and high-quality front-of-house experience for all visitors and stakeholders.
- Act as the first point of contact, managing incoming calls, enquiries, and visitor interactions promptly and professionally.
- Build and maintain effective relationships with clients and stakeholders across all levels of the organisation.
- Manage visitor registration processes, including security protocols and access arrangements.
- Coordinate meeting room bookings, set-up, and ongoing presentation to ensure a high standard of facilities experience.
- Coordinate incoming and outgoing mail and courier services in a timely and accurate manner.
- Support security pass administration, including new starter access and photography, in collaboration with Property Management.
Office Administration & Facilities Support
- Maintain a professional, well-organised, and presentable office environment, including kitchens and common areas.
- Ensure office and kitchen supplies are consistently stocked across all floors.
- Coordinate meetings, internal events, and catering requirements.
- Manage general administrative duties, including diary coordination, travel arrangements, and minute-taking as required.
- Process invoices and reconcile corporate card expenses in a timely manner.
- Coordinate business card orders and new starter welcome packs.
- Support interstate offices with office supply requirements.
- Oversee routine facilities tasks, including upkeep of shared equipment (e.g., coffee machines) and kitchen maintenance
Qualifications & Skills
- Demonstrated experience in a corporate reception and/or office administration role, ideally within a professional services or financial environment.
- Strong communication skills
- Well-developed interpersonal and relationship-building skills.
- Highly organised with strong time management skills and exceptional attention to detail.
- Strong customer service orientation, with a proactive and solutions-focused approach.
- A high level of emotional intelligence and rapport skills.
- High level of integrity, professionalism, and discretion when handling confidential information
- Ability to work both autonomously and collaboratively within a team environment.
- Demonstrated initiative, with the ability to anticipate needs and respond proactively.
- Flexible, resilient, and adaptable in a dynamic work environment.
